Privacy policy

This Privacy Policy explains what personal data is collected by the Genotoul GeT website and more generally the entire information system. It tells you why we collect your data, how it is processed, and how we keep it secure. It also gives you contact details you need if you have any queries or requests concerning your data.

This personal data is collected to support:

  • activities of the GeT platform including the management and follow-up of users/collaborators/customers, the distribution of newsletters, the realization of satisfaction surveys, the management of complaints, contentious and unpaid, the access to the platform.
  • the website activity, the audience measurement, the best handling of incidents.

The legal bases for these treatments are the performance of a public interest mission which is entrusted to the controller and, when appropriate, the legitimate interest of the data controller.

    • Account demand forms (for labs, projects and users)

The web site and whole information system is shared within the four sites of GeT core facility.

 

Public website (https://get.genotoul.fr)

Our public website is https://get.genotoul.fr

The data we collect: if you browse the public website then the following information is logged by our server: your browser, operating system, IP address, date and time of your visit, visited pages, and amount of data transferred.

Why do we collect this data : this data is used to monitor for suspicious activities (e.g. attempts to hack the site), to diagnose problems on the site, and to create anonymous usage statistics. We do not attempt to identify or profile people based on this data.

Lawful basis for processing the data: processing this data is necessary for performance of a public interest mission and to keep  this website secure and robust.

Who has access to the data: personal data is only accessible to the GeT Genotoul platform team.

Data transfer: this data is stored on a server hosted in the Toulouse INRAE DataCenter (France)

Data retention: we will keep security logs for one year.

GeT newsletters – mailing lists

Few emails are sent per year to every lab and users by GeT.

A mailing list is regularly used to :

  • distribute a newsletter
  • annouce technical seminaries organized by GeT
  • send recruitment demands

This used mailing list contains :

  • RENATER get-genotoul-info list,  where everyone can subscribe
  • list of active users extracted from our database, then securely (https + authentication) transferred to RENATER lists

If you have an account on the GeT Genotoul Platform,  you are automatically added to the latter list and you receive newsletters and messages addressed to all users.

The data we collect: the sign-up form for newsletters requires your email address.

Why we collect this data : this data enables us to send emails and newsletters.

Lawful basis for data processing : this data is automatically processed when you have an account on the GeT Genotoul platform and with your explicit consent when you subscribe directly with Renater suscribe form.

Who has access to the data : personal data is only accessible to the GeT Genotoul platform team who manage the emails.

Data transfer: RENATER is based in France and the data is stored on servers located there.

Data retention: we will keep your personal data for as long as you wish to remain on the mailing list or have an active account on the platform.

Third party processors: the mailing lists service is run on RENATER service. You can find Legal informations here

 

Support demand

We use a ticket system to manage support and various demands sent by emails to get-plage.contact@genotoul.fr.

The data we collect : The ticket system stores your name, email and details of your demand.

Why we collect the data : this data is collected to help you use the platform services. Also to trace incidents, problems encountered and solutions found. It is also used to create anonymous activity statistics.

Lawful basis for processing the data:this data is only processed to interact with the users

Who has access to the data : personal data is only accessible to the GeT Genotoul platform team who manage your demands.

Data retention :  data will be kept 15 years or will be erased on demand.

Third party processors: no

 

Account demand form

We use pdf and web forms to manage account demands for labs, projects ans users. Data is stored in our database when an account is created.

The data we collect:

  • your name
  • your  institutional email, address and phone number
  • your recruiter institution, laboratory and team (and if INRAE, the INRAE Center and department)

Why we collect the data : to identify and authenticate you as a user of the GeT Genotoul platform services. To manage your access rights. To keep you informed of plateform changes. Finally this data will also be used for administrative, operational, accounting, monitoring and security purposes and to create anonymous usage statistics.

Lawful basis for processing the data: this data is only processed with your explicit consent. The registration form asks for this consent.

Who has access to the data : personal data is only accessible to the GeT Genotoul platform team who manage your accounts and interact with you for project management

Data retention : Personal data will be keeped 15 years or will be erased on demand. Operational logs and related information are kept independently in order to guarantee the infrastructure security and optimization.

Your rights

Under the General Data Protection Regulation (GDPR) you have a number of rights concerning your data (see the CNIL website for an overview of these).

You have the right to access, correct, delete, oppose (for a legitimate reason) or limit the use of data concerning you, in accordance with Law No. 78-17 of January 6, 1978 on Data Processing, Files and Individual Liberties, and with EU Regulation 2016/679 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data.  You also have the right to submit a claim to a supervisory authority such as the Commission Nationale de l’Informatique et des Libertés (CNIL).

Except in the case of a claim, which must be submitted directly to a supervisory authority, you may exercise these rights by sending an email to GeT Genotoul platform (mail: get@genotoul.fr ) or a letter with a signed identity document addressed to the GeT GenoToul platform :
